Welcome to Best Decision Bookkeeping ("Company," "we," "our," or "us"). These Terms and Conditions govern your use of our website, services, consultations, and all related content and interactions.

Please read these Terms carefully. By using our website or engaging our services, you agree to be bound by these Terms and Conditions. If you do not agree, please refrain from using our services or website.

1. Scope of Services

Best Decision Bookkeeping offers professional bookkeeping and financial reporting services including but not limited to:

  • Monthly Bookkeeping
  • Financial Reporting (Monthly, Quarterly, Annual)
  • Job Costing & Pricing Strategy
  • Payroll Processing (via Partner)
  • Business Setup Support
  • Tax Reporting and Compliance Assistance
  • Add-On and Custom Services

All services are outlined in detail on our website and may be tailored through a written agreement or engagement letter.

2. Client Responsibilities

To ensure accurate and timely service delivery, clients must:

  • Provide all necessary financial documents by the 5th of each month
  • Maintain separation between personal and business transactions
  • Use secure portals or methods provided by Best Decision Bookkeeping for document sharing
  • Respond promptly to questions, clarifications, or document requests

Failure to do so may result in surcharges, delays, or limited service.

3. Payment Terms

  • All packages and services are billed monthly or as agreed in writing
  • Payments are due upon receipt unless otherwise specified
  • Late or non-payment may result in paused services and late fees
  • Add-on services and surcharges are billed separately and must be paid within 7 days of invoice
  • We accept payment via credit card, ACH, or other approved payment methods.

4. Surcharges and Additional Fees

We aim to deliver streamlined and efficient bookkeeping. The following surcharges may apply:

  • Late document submission
  • Personal transactions in business accounts
  • Disorganized uploads
  • Historical catch-up work
  • Multiple business entities under one account
  • Manual data entry for paper receipts
  • Excessive revision requests

5. Cancellations and Refunds

  • Clients may cancel services with a 30-day written notice.
  • Due to the nature of bookkeeping services, no refunds are issued for work already completed. If prepaid, services will continue through the billing period.

6. Confidentiality & Data Security

We take your privacy and data seriously. All client information is stored securely and only shared with authorized personnel or third-party providers directly involved in service delivery (e.g., payroll partners, tax preparers).

We follow industry standards for data encryption, access control, and file retention.

7. Limitation of Liability

Best Decision Bookkeeping will make every reasonable effort to deliver accurate, timely, and complete services. However, we are not responsible for:

  • Errors due to inaccurate or incomplete information from the client
  • Tax or financial outcomes based on decisions made without consultation
  • Delays caused by third-party software or service interruptions

To the fullest extent permitted by law, our liability is limited to the total amount paid for services within the prior 3 months.

8. Modifications to Terms

We reserve the right to update or revise these Terms and Conditions at any time. Changes will be posted on this page, and your continued use of services constitutes agreement to the updated terms.

9. Governing Law

These Terms shall be governed by and interpreted in accordance with the laws of the State of Kentucky, without regard to conflict of law principles.
